Your workspace

Off Duty stores your business requirements, client messages, saved replies and optional follow-up tasks. Guest workspaces expire after 24 hours. Workspaces you choose to keep in an account do not have that guest expiry. Access is restricted to the owning browser session or account.

AI processing

When you enable AI, Off Duty sends the message and relevant business requirements, including an optional writing example, to Google Gemini to prepare an assessment and reply. The current configuration is designated for paid API processing. Google states that paid-service prompts and responses are not used to improve its products.

AI is off until you enable it. Public-form messages require both the business owner’s and sender’s permission. Turning AI off stops new preparations; a request already in progress may finish.

Optional Gmail access

Connecting Gmail allows Off Duty to read messages from a label you choose and create reviewable Gmail drafts. Google’s draft-management permission also includes sending, but Off Duty has no send action. Off Duty does not send email replies or email alerts. Attachments are not imported.

Manual import processes only the email you select. If you enable automatic drafting, scheduled checks look for new received messages in your chosen label. Automation is off until you explicitly enable it. An in-progress check may finish after you pause.

Gmail-derived content is not sent to a training-enabled AI service. Connected-email AI processing remains blocked until the operator confirms a suitable no-training configuration. Gmail data is used only to provide the visible email-review and drafting features, not for advertising or training general-purpose models.

Off Duty’s use of information received from Google Workspace APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Storage and deletion of Gmail data

Imported emails, their assessments and saved replies are stored in your workspace. Connection credentials are encrypted before storage and are never sent to the browser. Message content and credentials are not intentionally written to application logs.

On the Gmail page, choose “Disconnect Gmail and remove imported emails” to stop access and delete imported Gmail records, associated saved replies and tasks from Off Duty. Pasted messages are kept. Emails and drafts already in Gmail are not deleted. You can also revoke access in your Google Account’s third-party connections. Revoking Google access alone does not delete records already stored in Off Duty.

Your control

You review and send replies yourself. Off Duty does not negotiate terms or book appointments. Follow-ups are checklist tasks, not notifications. Existing template links contain only previously selected generic guidance, not client records. Optional account retention uses ChatGPT sign-in and a one-use confirmation link.
